Privacy Policy
Effective Date: October 2, 2026
Tote Outfitter LLC, doing business as Tote Outfitter Rentals ("Company," "we," "us," or "our") respects your privacy. This Privacy Policy explains the types of information we may collect when you visit toteoutfitter.com or our online booking pages, request information, make a reservation, pay for a rental, communicate with us, or use our delivery and retrieval services, and how we may use, disclose, retain, and protect that information.
1 Information We Collect
We may collect information you provide directly to us, including:
- Name, email address, telephone number, billing address, delivery and retrieval addresses, and other contact information.
- Reservation details, rental dates, selected package, delivery and retrieval instructions, access information, and customer notes.
- Communications you send to us by email, telephone, web form, text message, or other approved channel.
- Information included in signed agreements, acknowledgments, cancellation or rescheduling requests, damage reports, and customer service records.
- Payment-related information necessary to process charges, refunds, and authorized additional charges.
Payment card information is processed by Stripe through our connected Booqable booking and payment system. Tote Outfitter LLC does not store your full payment card number or card security code in its own business records. Where supported and separately authorized, Stripe may securely store or tokenize a payment method for later charges permitted by your agreements with us.
2 Information Collected Automatically
When you use our website or online booking pages, we and our service providers may automatically collect certain technical information, such as IP address, browser or device information, operating system, referring pages, pages viewed, approximate location derived from network information, and information about how you interact with the website.
Cookies and similar technologies may be used to keep the website functioning, remember preferences, support checkout and security, understand site usage, and improve our services. The technologies used depend on the website, booking, payment, and other services enabled at the time. Your browser may allow you to block or delete cookies, although some website or checkout functions may not work properly if you do.
3 Delivery and Retrieval Information
To provide delivery and retrieval services, we may use your delivery and retrieval addresses, location instructions, access details, gate or building information, and other information reasonably necessary to complete service.
If you authorize unattended delivery or retrieval, we may take limited exterior photographs to document placement, retrieval, quantity, or condition of rental equipment. We make reasonable efforts to avoid capturing unrelated personal information. Such images may be retained with reservation records for operational, dispute-resolution, loss-prevention, and documentation purposes.
4 How We Use Information
We may use personal information to:
- Create, confirm, manage, modify, and fulfill rental reservations.
- Process payments, refunds, extensions, and authorized additional charges.
- Calculate or facilitate delivery service and applicable distance-based delivery charges.
- Communicate about reservations, delivery, retrieval, reminders, changes, customer service, and account matters.
- Prepare and maintain rental agreements, acknowledgments, and transaction records.
- Document the condition, delivery, retrieval, loss, damage, cleaning, or return of rental equipment.
- Prevent fraud, misuse, theft, unauthorized transactions, security incidents, and other unlawful activity.
- Maintain, troubleshoot, secure, and improve our website, booking process, operations, and services.
- Comply with legal, tax, accounting, insurance, dispute-resolution, and recordkeeping obligations.
- Send marketing communications where permitted by law and, when required, with your consent.
5 How We Share Information
We may share personal information only as reasonably necessary for legitimate business and legal purposes. Categories of recipients may include:
- Booqable and other booking, e-commerce, or reservation-management providers for managing orders, customer records, and rental documents.
- Stripe and other payment processors for payment processing, authorized stored-payment-method functionality, refunds, fraud prevention, and related services.
- Netlify and other website-hosting or technology providers for operating and securing our website.
- Google Workspace and other communications providers for business email and customer communications.
- Zapier and other automation providers for configured reservation reminders and follow-up communications.
- Analytics, accounting, insurance, professional, and customer-support providers that assist our operations, when used.
- Government agencies, courts, law enforcement, regulators, insurers, attorneys, or other parties when disclosure is required or reasonably necessary to comply with law, enforce agreements, protect rights or property, respond to disputes, or address fraud or safety concerns.
- A buyer, successor, lender, investor, or other appropriate party in connection with a merger, financing, sale, transfer, reorganization, or other business transaction, subject to applicable confidentiality and legal requirements.
We do not sell personal information for money. If our practices change in a way that creates additional privacy rights under applicable law, we will update this Policy and provide required notices or choices.
6 Payment Information and Saved Payment Methods
Payment transactions are handled through third-party payment processors. When you separately authorize a payment method to be saved for later use, the processor may store or tokenize the payment credentials in accordance with its security practices and applicable payment-card requirements.
Any later charge initiated by Tote Outfitter LLC must be consistent with the Rental Agreement, Payment Method and Additional Charge Authorization, and other applicable policies and authorizations. We do not retain your card security code for future use. Initial payment alone does not replace separate authorization to save and reuse your payment method.
7 Data Retention
We retain personal information for as long as reasonably necessary to provide services, maintain business and transaction records, administer agreements, resolve disputes, enforce rights, comply with tax, accounting, insurance, and legal obligations, and protect against fraud or misuse.
Retention periods may differ depending on the type of information and why it was collected. When information is no longer reasonably needed, we may delete, de-identify, or securely dispose of it, subject to technical and legal limitations.
8 Data Security
We use reasonable administrative, technical, and physical safeguards appropriate to the nature of the information we handle. However, no website, electronic transmission, payment system, or storage method can be guaranteed to be completely secure.
Customers should avoid sending full payment-card numbers, card security codes, passwords, or other highly sensitive information through ordinary email, text message, or other unsecured communications.
9 Your Privacy Choices and Rights
Depending on where you live and which privacy laws apply, you may have rights concerning your personal information, such as requesting access to, correction of, or deletion of certain information, or obtaining information about how it is used. Some requests may be limited by legal, security, fraud-prevention, transaction-record, or contractual requirements.
You may also ask us to update inaccurate contact information or stop non-essential marketing communications. Transactional communications concerning an active or past reservation may still be sent when reasonably necessary.
Requests concerning withdrawal of saved-payment-method authorization may be submitted through the contact methods in Section 13. Withdrawal does not eliminate amounts owed under the rental documents.
10 Children’s Privacy
Our rental services and website are intended for adults who are legally able to enter into a rental agreement. We do not knowingly collect personal information from children under 13 through our services. If we learn that such information was collected unintentionally, we will take reasonable steps to delete it where required.
11 Third Party Websites and Services
Our website or booking experience may contain links to or integrations with third-party services. Those third parties operate under their own privacy policies and terms. This Privacy Policy does not control how an independent third party handles information once you interact directly with that service.
12 Changes to This Privacy Policy
We may update this Privacy Policy from time to time to reflect changes in our services, technology, business practices, or legal requirements. The revised policy will show an updated effective date. Material changes will be communicated when required by applicable law.
13 Contact Us
Questions, requests, or concerns about this Privacy Policy may be submitted using the contact information published on toteoutfitter.com or by replying to the booking confirmation email associated with your reservation.
For privacy and security reasons, we may need to verify your identity before fulfilling certain requests. Please do not send full payment-card information or card security codes when contacting us.
14 Relationship to Rental Documents
This Privacy Policy should be read together with the Tote Outfitter Rentals Rental Agreement, Damage, Loss & Cleaning Policy, Payment Method and Additional Charge Authorization, Cancellation and Rescheduling Policy, and Porch Delivery & Retrieval Policy and authorization, as applicable.
